PES (People's Education Society), the Client is a leading group of educational institutions who want to effectively plan, manage and execute events. Recognized as one among the top three institutions in offering quality education, industry exposure and assured placements, the client encourages its student community to initiate and learn on their own.
Business Needs
Venturing into this endeavor hundreds of events, fests, symposiums and seminars are conducted "for the
students by the students". The institution funds and the students too gather additional funds by inviting participants from other institutions.
Specific committees are formed to take care of different aspects of the planning process and these committees report the faculties about the developments on a timely basis.
To streamline these activities, the institution wants to adopt technology to bring improvisation.

Solution
Vavia Technologies understood the entire process and the complications involved. Therefore Vavia Technologies met the needs of the client with an expected end result by designing a web application that is accessible by assigned teams and users from anywhere.
The solution automates different business functions that need to work together for a successful event like events committee, marketing, finance, purchase etc. Committee members are given exclusive logins and restricted access for relevant modules they are concerned with.
To avoid confusions and duplications, event registration is managed by Barcode printed tickets and easily verified by the solution at the event entry.
Custom dashboards are designed for individual module administrators to get a complete overview on the planning to executing process. Custom designed reports were also designed.

Implementation
The project was implemented in a week's time with a phased manner. The solution was designed and prototyped to give the client a real-time visualization. Upon getting the design approved, the detailed coding started with minor additional changes. The solution then was hosted in a testing environment for both the teams to test the feasibility. After the testing, the project was hosted in the real-time environment with additional security.
